Host candidates for efsli Conferences

February 5, 2025
Efsli is looking for host candidates for upcoming efsli Conferences from 2025 to 2030. If your NASLI is interested in hosting, please complete the short below by 15 March 2024.
The selected NASLI for 2026 will be presented at the Pre-AGM. However, we also encourage NASLIs to express interest for 2025, 2027, and beyond, as this will help with future planning.
Hosting an efsli Conference is a great opportunity to highlight your national interpreting community, strengthen advocacy efforts, and collaborate on a European level.
To give you a clearer perspective on the role of a hosting NASLI, we have also prepared a mini guide. If your NASLI is selected, a detailed agreement and guidelines will be provided. Please note that efsli will cover all conference-related expenses directly.
Thank you for your interest!
Guide to hosting an efsli Conference
A Simple Step-by-Step Overview for NASLIs
1. Introduction
The European Forum of Sign Language Interpreters (efsli) organises its annual efsli Day and Conference in collaboration with a National Association of Sign Language Interpreters (NASLI). This guide provides key steps and responsibilities for successfully co-hosting the event.
2. Key responsibilities of the hosting NASLI
- Work in close collaboration with efsli to plan and execute the event.
- Set up an Organising Committee with clear roles and responsibilities.
- Ensure smooth logistics, financial planning, and compliance with efsli agreements.
3. Step-by-Step Guide
A. Before the event
✔ Sign the Agreement: A formal contract with efsli outlining responsibilities.
✔ Set up an organising & scientific committee: Assign clear roles (e.g., logistics, budget, registrations, interpreting services)
✔ Plan budget & fundraising: Use the efsli-provided template and submit for approval. Explore sponsorships.
✔ Secure venue & accommodation: Ensure accessibility, interpreter space, and seating for 250-300 attendees.
✔ Co-develop with efsli event timeline: Work backwards from the event to schedule milestones (e.g., opening registrations, finalising speakers).
✔ Promote the event: efsli provides a web page—update it regularly with content, social media posts, and a promotional strategy.
✔ Open registrations: efsli manages online registrations. Monitor sign-ups and payment tracking.
✔ Arrange interpretation: Secure national sign language, IS interpreters, and captioning services in advance.
✔ Confirm technical requirements: Ensure WiFi, projectors, microphones, and streaming options are available.
B. During the Event
✔ Manage coordination: Ensure smooth venue logistics, catering, and technical support.
✔ Support interpretation services: Have a dedicated interpreter coordinator on-site.
✔ Handle financial tracking: Keep updated records of all expenses for the final budget report.
✔ Engage with participants: Ensure all materials (programmes, name tags) are available and assist attendees when needed.
C. After the Event
✔ Evaluate the event: efsli will send participant feedback surveys—review results for improvements.
✔ Share conference materials: With the close collaboration of the scientific committee, efsli will make the proceedings of the conference.
✔ Follow Up with Sponsors & Partners: Thank supporters and document funding contributions.
